Management Administrative Assistant

Departments:
SomaFuture Group is a business group with integrated operations across construction, architecture, property, insurance and condominium management. With five specialised companies and a team of more than 300 employees, we deliver projects in full, from the design phase through to final handover.
We are strengthening our team and are looking for a Management Administrative Assistant to join a solid, growing group with challenging projects.

 

Responsibilities

  • Providing direct support to management in the administration and monitoring of day-to-day matters;
  • Managing diaries, meetings, contacts and appointments;
  • Preparing, organising and monitoring administrative documentation;
  • Drafting and monitoring professional correspondence and communications;
  • Liaising with clients, suppliers, partners and public and private organisations;
  • Requesting and following up on tenders, quotations and services;
  • Organising and filing physical and digital documentation;
  • Providing administrative support for property and construction projects;
  • Assisting with the management of properties, blocks of flats and tenancies;
  • Monitoring payments, rents, receipts, invoices and other administrative matters;
  • Preparing charts, reports, presentations and control files;
  • Managing and updating information using Excel and other Microsoft Office tools;
  • Providing cross-functional support for the company’s various administrative and operational needs;
  • Providing cross-functional support to the Insurance, Block of Flats Management, Client Management and Property Management departments.

Skills

  • Previous experience in administrative roles, secretarial work, executive support or management support;
  • Good knowledge of Microsoft Office, particularly Excel, Word and Outlook;
  • Good oral and written communication skills;
  • A strong sense of organisation, responsibility and attention to detail;
  • Ability to prioritise and manage multiple tasks simultaneously;
  • Independence, initiative and problem-solving skills;
  • Discretion and confidentiality when handling information;
  • Good interpersonal skills and the ability to liaise with a variety of people;
  • Knowledge of English would be an advantage;
  • Experience in the property or construction sector would be an asset;
  • Driving licence.
